We respect your privacy. This policy explains what personal information we collect, why we collect it, how we protect it, and the choices you have. It applies to our clinic, our websites (ttchirorm.com.au and ttmassagetherapy.com.au), and the services we provide.

 

We handle your personal information in accordance with the Privacy Act 1988 (Cth), the Australian Privacy Principles (APPs), and the Health Records and Information Privacy Act 2002 (NSW).

What we collect

Personal and contact details Your name, date of birth, address, phone number, email address, emergency contact, and occupation.

 

Health information This is sensitive information under Australian law and we treat it with extra care. It includes your health history, presenting complaints, clinical notes, examination findings, treatment plans, referrals, and correspondence with other healthcare providers.

 

Payment and claims information Payment card details, private health fund details, Medicare or DVA details where relevant, and transaction records.

 

Website and communications data Information you submit through our website forms, booking system, email, SMS, phone, or social media. Our website also collects standard analytics data through cookies (see Cookies and Analytics below).

 

Photos and videos Images or recordings taken in the clinic for the purposes described below.

 

How we collect it

We collect information directly from you wherever possible: through intake forms, consultations, our online booking system, phone calls, emails, SMS, and our website. Sometimes we receive information from others, such as a referring practitioner, your health fund, or someone you've authorised to act for you.

Why we collect and use it

We collect your personal information to:

 

  • Provide you with safe, appropriate chiropractic and remedial massage care

  • Manage appointments, reminders, and recalls

  • Process payments and health fund or Medicare claims

  • Communicate with you about your care

  • Communicate with other healthcare providers involved in your care, with your consent

  • Send you health education content, newsletters, and offers, where you've opted in

  • Run, improve, and secure our clinic and website

  • Meet our legal and professional obligations, including record-keeping requirements

 

You can choose not to provide certain information, but it may limit our ability to provide care safely.

 

Use of AI tools

We use artificial intelligence (AI) tools to support how we run the clinic. This may include:

 

  • Helping practitioners prepare and summarise clinical notes

  • Drafting administrative documents, emails, and patient communications

  • Supporting marketing content, scheduling, and business reporting

 

Where AI tools process your personal or health information, we take reasonable steps to use reputable providers with appropriate security and privacy safeguards, limit the information shared to what's necessary, and de-identify information where practical.

 

AI tools support our team. They don't replace professional judgement. All clinical decisions about your care are made by your treating practitioner.

 

If an AI tool is used to record or transcribe any part of your consultation, we'll tell you and ask for your consent first. You can decline, and it won't affect your care.

 

Photos and videos in the clinic

We sometimes take photos and videos in the clinic for education, marketing, and social media (for example Instagram, Facebook, YouTube, and our website).

  • We will always ask for your consent before taking or publishing any photo or video in which you're identifiable

  • You can say no, and it will never affect your care

  • You can withdraw your consent at any time by contacting us. We'll remove the content from our platforms where it's within our control, noting that content already shared or downloaded by third parties may be beyond our reach

  • Clinical photos taken as part of your care (for example postural photos) are stored securely in your patient record and aren't used for marketing without your separate consent

 

Who we share it with

We don't sell your personal information. We may share it with:

 

  • Your treating team within the clinic, on a need-to-know basis

  • Other healthcare providers, such as your GP or a specialist, with your consent or where permitted by law

  • Service providers that help us operate, such as our practice management software, payment processors, accounting software, communications and marketing platforms, website host, and IT support. These providers may only use your information to deliver services to us

  • Health funds, Medicare, or insurers to process claims you've initiated

  • Legal and regulatory bodies where required or authorised by law, such as in response to a court order, mandatory reporting obligation, or to lessen a serious threat to someone's life, health, or safety

Overseas disclosure

Some of our service providers store or process data outside Australia, including cloud-based software and our overseas-based administrative support team. Where this happens, we take reasonable steps to ensure your information is handled consistently with the Australian Privacy Principles.

 

Marketing communications

We only send marketing emails and SMS to people who have opted in, consistent with the Spam Act 2003 (Cth). Every marketing message identifies us and includes a simple way to unsubscribe. You can opt out at any time by following the unsubscribe link, replying STOP to an SMS, or contacting us directly. Opting out of marketing doesn't stop appointment-related communications.

 

Cookies and analytics

Our website uses cookies and third-party analytics and advertising tools (such as website analytics and social media pixels) to understand how visitors use our site and to improve our services and advertising. These tools collect usage data such as pages visited and time on site. You can manage or decline cookies through your browser settings. Social media features on our site are governed by the privacy policies of those platforms.

 

How we protect your information

We store your information in secure, access-controlled systems. We use reputable software providers, restrict access to team members who need it, and maintain administrative, technical, and physical safeguards. No system is completely secure, but we take data security seriously and review our practices regularly.

 

If a data breach occurs that's likely to result in serious harm, we'll notify affected individuals and the Office of the Australian Information Commissioner (OAIC) in accordance with the Notifiable Data Breaches scheme.

 

How long we keep it

We keep health records in line with NSW law: at least 7 years from the last entry for adults, and for patients under 18, until they turn 25. Other personal information is kept only as long as needed for the purposes described in this policy or as required by law, then securely deleted or de-identified.

 

Patients under 18

We provide care to patients under 18 with the consent and involvement of a parent or guardian. Health information about young patients is handled with the same care and legal protections described in this policy.

 

Access and correction

You can ask to access the personal information we hold about you, or ask us to correct it if it's inaccurate or out of date. Contact us using the details below. We'll respond within a reasonable time. In limited circumstances the law allows us to refuse access, and if so we'll explain why.
